Storage decisions are easiest to defend when they are written down before the material arrives. Temperature, light exposure, and the number of times a vial is opened all belong in the same short record, so a later reviewer can reconstruct how the material was kept.

Lyophilized material is generally more forgiving than material already in solution, but that stability is not a reason to leave conditions undocumented. The point of a storage note is traceability, not reassurance.

Record the conditions, not just the location

A shelf label tells a colleague where a vial is. It does not tell them what the vial has experienced. Capturing the arrival date, the storage temperature range, and any transfer between units gives the next reader something concrete to work from.

  • Note the date the material arrived and the condition it arrived in.
  • Record the storage temperature range rather than a single nominal value.
  • Log every transfer between storage units, including short bench intervals.

Keep light and moisture in the same note

Light exposure and ambient humidity are usually managed by habit rather than by record. Writing them into the same storage note keeps them reviewable, and makes it obvious when a vial has spent longer on an open bench than the protocol intended.

Reconstitution deserves its own line in the record. Once material is in solution, the storage question changes, and the earlier lyophilized-state notes no longer describe what is in the vial.
